Implementing a computerized maintenance management system (CMMS) is only the first step. Without a structured training program, even the best software can fail.

Three Pillars of CMMS Training

Effective training covers:

• Basic computer and OS skills
• Core CMMS application use
• Internal process integration

1. Basic Computer Literacy

Before users dive into the CMMS, confirm they’re comfortable with everyday computing tasks and the operating system in use. A brief refresher equips them for the next phase.

2. CMMS Application Training

This phase is split into two stages:

1. Initial launch training – get the system live.
2. Advanced, hands‑on sessions after users have spent a few weeks working with the tool.

Keep sessions concise—five to ten days is excessive, and the retention rate drops sharply. Schedule training later in the day so participants are alert, and pair each session with immediate, real‑world application.

3. Internal Process Training

Vendors will show you the software, but they rarely cover your unique workflows. This is where you must step in:

• Equipment numbering schemes to prevent data entry errors.
• Consistent inventory part descriptions to keep the database clean.
• Standardized work‑order entries—avoiding vague phrases like "machine down" or "fixed" to preserve a useful maintenance history.

Key Training Principles

• Every user—operators, maintainers, and supervisors—must receive hands‑on training that builds confidence and competence.
• Leverage vendor support, and consider additional training services or follow‑ups. The upfront cost pays off through higher adoption and lower troubleshooting.
• Make training continuous. New hires get the full curriculum; existing staff receive refreshers as needed to keep pace with system updates and staff turnover.
• Use the training window to audit the CMMS. Capture trainee feedback, refine the system, and boost overall acceptance.
